Nothing you type leaves this device.

Use it for: money you have actually received in cash or otherwise — for a service, a private sale, a deposit on a job or a loan paid back.

Not for: an invoice or a store receipt, a payment that was not really made, or anything meant to hide or invent a payment. Rent has its own page and receipt type.

What to write on a cash receipt

A cash receipt is short, but every line has a job. The form above asks for:

  • the name of the person or business that received the money;
  • the name of the person who paid;
  • the amount in figures, and in words if you want extra clarity;
  • what the payment was for, specific enough to recognize later (“Yard cleanup on October 3”, not just “work”);
  • the date the cash changed hands;
  • a receipt number, if you keep your own numbering;
  • signatures: the person who received the money, and the payer if you both sign.

Two signatures and two copies are what make a cash receipt useful months later, when memories differ.

Cash receipt template: fill it in, print it, sign it

This cash receipt template works on a phone or a computer. Type the details once, check the preview, then download a PDF that prints on US Letter or A4 paper. Nothing is uploaded: the file is made in your browser, and once the page has loaded it even works without a connection.

Need several receipts? Download one, press Clear and start the next. Your draft stays in this browser until you clear it, so a closed tab doesn’t lose your work.

Cash payment receipt for services and small jobs

Cleaners, tutors, handymen, babysitters and dog walkers are often paid in cash. A cash payment receipt written on the spot prevents the classic argument later: “I paid you for October.” — “No, that was September.” If the job and the payment happened on different days, put the date of the job in the description.

Paid part now and the rest later? Switch the type to Partial payment: the receipt then shows the total, what has been paid so far and the balance still due.

Cash sale receipt when you sell something privately

Selling a bike, a sofa or a used phone for cash? A cash sale receipt records what changed hands, for how much and when. The Private sale type adds a fixed sold-as-is sentence and signature lines for the seller and the buyer, and you can describe the item in as much detail as you need.

Blank cash receipt or one filled in online?

A blank cash receipt from a receipt book is quick, but carbon copies fade, handwriting is hard to read and books get lost. Filling it in online gives you a clean PDF that you can print, text or email, and file with your other records.

Either way, don’t leave empty lines that someone could fill in later: cross them out, or simply leave them off the receipt.

Paying or collecting rent in cash?

Rent has its own receipt with the rental address, the period and a separate line for utilities. Switch the type to Rent, or see the rent receipt page, which also explains how tenants can ask for a signed receipt.

Paid in cash often?

When the app is better

  • A receipt in about 30 seconds

    Type the amount on the number pad, pick the payer from your contacts and sign with your finger.

  • Numbered in order

    Receipts get consecutive numbers such as RCT-2026-0001, and a voided receipt keeps its number, so the sequence stays complete.

  • Every receipt in one place

    Search by payer or month, check the monthly summary, and text or email any PDF again when someone asks.

Questions people ask

How do I get proof of payment if my landlord insists on cash?

Ask for a receipt every time you pay, at the moment you pay. If the landlord doesn’t write one, bring it yourself: fill in a receipt, print two copies and ask for a signature on both. A receipt book with carbon copies does the same job. Keep your copies together with the lease.

Should I write a receipt every time I’m paid in cash?

It is the simplest habit to keep. Small business owners who started writing a receipt for every cash or check payment say it ended the “I already paid you” arguments, and it leaves you with a record of the cash you received.

Is a cash receipt the same as an invoice?

No. An invoice asks for payment; a receipt confirms that payment was received. If your business has to issue invoices with tax details, use invoicing or accounting software for that. This website only makes receipts.

Can I write a cash receipt for the sale of a car?

Yes. Use the Private sale type, describe the car (make, model, year, VIN and mileage), enter the price and have the seller and the buyer sign. The receipt records the payment; the title transfer and the registration still go through your state’s motor vehicle office.

What does a cash receipt look like? Do I get one from the bank when I withdraw the cash?

A bank slip only shows that you took money out, not who you gave it to. A cash receipt names the payer and the person who was paid, the amount, the date and what it was for, and it is signed by the person who received the money. The filled-in example on this page shows one.

Can I write a cash receipt after the fact?

Yes, people often write one a few days later. Use the date the money was actually received, not the day you are writing it, and mention under Notes that the receipt was written afterwards. Don’t choose a date that makes the payment look earlier or later than it was.
