Security deposit receipt, free as a PDF
This is a receipt for receiving a deposit: the tenant hands over the money — usually at lease signing or move-in — and the landlord confirms in writing how much was received, for which home and on what date. It is not the statement of deductions a landlord sends after move-out. In Australia and New Zealand the same payment is called a bond.

Use it for: a security deposit, pet deposit or key deposit that you have actually received for a house, an apartment or a room — in cash, by check, by money order or by transfer.
Not for: the statement of deductions after move-out, a deposit that was not really paid, or anything meant to mislead a tenant, a landlord or a court. Monthly rent has its own page and receipt type.
What to write on a deposit receipt
A deposit can sit with the landlord for years, so the receipt has to make sense long after everyone has forgotten the details. The form above asks for:
- the name of the landlord or property manager who received the deposit, and their address if you want it on the receipt;
- the tenant’s name — and, under More options, the person who paid if it was someone else, such as a parent;
- the address of the rental, including the unit or room number;
- the deposit amount, and what kind of deposit it is if it isn’t a security deposit (pet deposit, key deposit);
- the date the money was received and how it was paid: cash, check, money order or transfer;
- where the deposit is held, if you want to note it (More options → Bank where the deposit is held);
- a signature line for the landlord and one for the tenant, each with a date.
Every deposit receipt ends with one plain sentence: the deposit is refundable at the end of the tenancy subject to the agreed terms. Anything more specific — the date of the lease, conditions both of you agreed on — goes under More options → Notes. Rules on deposits differ from state to state and between countries, so read this as common practice rather than legal advice.

Security deposit receipt: proof the money came in
A security deposit receipt is written once, on the day the deposit is paid. It answers the questions that come up at the end of a tenancy: how much was paid, when, by whom and for which unit. Without it, a tenant who paid in cash may have nothing to show, and a landlord may not remember whether the deposit was $1,500 or $1,650.
Tenants: ask for the receipt at the moment you hand over the money, especially when you pay in cash. Landlords: a receipt protects you too — it shows exactly what you collected and stops arguments about amounts years later. Keep a signed copy each, together with the lease.
Deposit receipt or move-out deductions: two different papers
People use the word “receipt” for two different things. The deposit receipt on this page is written when the deposit comes in. When the tenant moves out, many landlords have to send a separate written statement listing what they keep from the deposit and why, often with repair bills attached, and return the rest within a deadline set by state law.
This page does not make that move-out statement. If you are a tenant waiting for your deposit back, your state’s housing or consumer protection website explains the deadlines and what the statement must contain. Your deposit receipt is still useful then: it shows how much you paid in the first place.
Rent and security deposit receipt at move-in
At move-in, tenants often pay several things at once: the first month’s rent, the security deposit and sometimes the last month’s rent. Many landlords write two receipts — a rent receipt for the month and a deposit receipt for the deposit — because rent is spent while the deposit is held and returned.
Keep “last month’s rent” clearly labelled. It is rent paid in advance, not part of the deposit, and mixing the two up is a classic source of disputes at move-out. Under More options you can set “Payment for” to make each receipt say exactly what it covers.
Called a bond in Australia and New Zealand
In Australia and New Zealand a rental deposit is called a bond. In most places the bond is then lodged with a government bond service, which keeps its own record of it. A receipt from the landlord or the agent still shows the day the money actually changed hands, which matters when it was paid in cash. Choose AUD or NZD as the currency and A4 as the paper size.
Noting where the deposit is kept
Some US states expect landlords to tell tenants which bank holds the deposit — Massachusetts and New York come up most often in landlord discussions. The optional “Bank where the deposit is held” field prints that line on the receipt. It is only a field: check your own state’s rules for what has to be disclosed, and when.
Pet deposit, key deposit or holding fee
A pet deposit or a key deposit works the same way as a security deposit: write what it is for under More options → What the payment is for. A holding fee is different — it reserves the home before the lease starts and may or may not be refundable, depending on what you agreed. Because a deposit receipt always prints the refundable sentence, use the plain Receipt type for a holding fee and write the agreed terms in the description.
Paid a deposit and never got a receipt?
Ask for one now, in writing — a text or an email is enough — and say how much you paid and when. If the landlord agrees but never gets round to it, fill in this form yourself with the real amount and date, print two copies and ask the landlord to check and sign both.
Keep the other traces as well: the cancelled check, the money order stub, a bank or Zelle record, or messages that mention the deposit. Never sign the landlord’s name yourself — a deposit receipt only means something when the person who received the money signs it.
Still there at move-out
When the app is better
Found in seconds, years later
Every deposit receipt stays on your phone. Search by tenant or filter by type, then text or email the PDF again when the lease ends.
No tax line on deposits
The deposit type never adds tax, while your other receipts can still show it when you need it.
Rent receipts for the same tenant
“Same payer again” starts the first rent receipt with the tenant already filled in, so deposit and rent sit side by side.
The Android app is coming soon. You can create receipts on this website in the meantime.
Questions people ask
What is a deposit receipt?
A short written confirmation that a landlord received a deposit from a tenant: the amount, the date, the rental address and the names of both, signed by the person who took the money. It is written when the deposit is paid, usually at lease signing or move-in, and each side keeps a copy until the deposit has been settled.
If you didn’t have a lease, how would you prove your deposit?
With whatever shows the payment: a signed deposit receipt is the clearest, followed by a cancelled check, a money order stub, a bank or Zelle record, or messages that mention the amount. That is why tenants are often told to ask for a receipt the moment they pay — especially when they pay in cash and there is no written lease.
Is the statement a landlord sends after move-out the same as a deposit receipt?
No. The deposit receipt confirms that the money came in at the start. The move-out statement comes at the end and lists what the landlord keeps from the deposit and why; whether it has to include repair bills, and by when, depends on your state. They are two separate papers, and this page only makes the first.
What is a holding fee, and how is it different from a security deposit?
A holding fee (or holding deposit) reserves a home before the lease starts; a security deposit is held during the tenancy and returned at the end, minus agreed deductions. Whether a holding fee is refunded or counted towards the first rent depends on what was agreed, so write that on the receipt. Mixing the two words up is a common cause of disputes.
Should you get a receipt for a deposit paid in cash?
Yes — that is when it matters most, because cash leaves no bank record. Tenants and landlords commonly write it on the spot, both sign, and each keeps a copy. Some states have their own rules about deposit receipts; this page describes common practice, not legal requirements.
Can I use this for a deposit on a car or a large purchase?
Use the Partial payment type instead. It shows the full price, the deposit and the balance still due, and it doesn’t print the rental refund sentence. The down payment receipt page explains it step by step.
