Use it for: money you have actually received for repair work, parts, diagnostics or a tow — whether you run a shop, work as a mobile mechanic or fixed a neighbor’s car.
Not for: an estimate for work that is not done or not paid yet, a warranty, an insurance claim form, or a receipt for repairs that never happened. It is also not an invoice with sales tax for a registered shop.
What to write on an auto repair receipt
A repair receipt should let anyone see later which car was fixed, what was done and what was paid. The form above asks for:
- your name or your shop’s name, with a phone number or address so the customer can reach you;
- the customer’s name;
- the vehicle and the job, in “What the payment is for”: year, make, model, license plate or the last digits of the VIN, and the odometer reading;
- each part and each block of labor on its own line: description, quantity or hours, and the unit price;
- shop supplies or small materials as one amount, if you charge for them;
- the payment stage — deposit, final payment or paid in full — so nobody wonders whether something is still owed;
- the date the money was received and how it was paid;
- a signature line for you and one for the customer.
The line totals and the grand total are worked out for you, and the PDF prints the whole table. The website adds no tax line: if you charge sales tax on parts, your shop software or your accountant handles that. Rules for repair shops differ from state to state; this page is about confirming a payment.

Auto shop receipt template with parts and labor
The form works like an auto shop receipt template, except that it does the math. Each line has a description, a quantity or number of hours and a unit price; the line total appears as you type. Start with three lines and add more as you need them — up to 20, enough for a full service with fluids, filters and several hours of labor.
Put parts and labor on separate lines rather than one lump sum. Customers understand what they paid for, and if a part fails later, the receipt shows which part and when it went in. Small items such as cleaner, rags or fasteners can go in the Materials field as one amount.
Mechanic receipt for mobile and side-job repairs
Many mechanics fix cars in driveways and parking lots, or on weekends next to a regular job, and get paid in cash, by Zelle or by Venmo. A mechanic receipt written on the spot gives the customer proof of what they paid and gives you a record of the job — handy when the same car comes back with a question.
Fill it in on your phone before you leave, download the PDF and text or email it to the customer. There is no account, and nothing you type is sent anywhere: the PDF is made in the browser.
Receipt for car repair: what customers should keep
Paid someone to fix your car? Ask for a receipt that names the car, lists the parts and the labor and shows the total and the date. Keep it with your other maintenance records. When you sell the car, a folder of repair receipts helps the buyer see what has been done, and if a new part fails early, the receipt shows when and where it was installed.
Deposit for parts, then the final payment
Bigger jobs often start with a deposit so the parts can be ordered. Set the payment stage to “Deposit” and list what the deposit covers. When the car is ready, write a second receipt marked “Final payment”. If you want the receipt to show the full price, what was paid before and the balance still due, switch to the Partial payment type: your lines then add up to the total due.
Towing and roadside help
Tow operators and roadside helpers are often paid in cash at the scene. Write the pickup and drop-off places and the vehicle in the description, and one line for each charge — hook-up, miles towed, winching or storage days. The customer gets a clear receipt, and you keep a record of the job.
Estimate first, receipt after payment
An estimate says what a repair is expected to cost before the work starts. A receipt comes after the payment and confirms what was actually paid. Keep them apart: if the final price differs from the estimate, the receipt should show the real amount and the lines that changed, so there is no confusion later.

Questions people ask
How do I make an auto repair receipt?
Enter your name or shop, the customer, the car and the job, then one line for each part and each block of labor with the quantity or hours and the price. Add shop supplies if you charge them, pick the payment stage, check the date and the payment method, and download the PDF. Print it or text it, and sign it together if you can.
How long should you keep car repair receipts?
Many owners keep them as long as they own the car and hand them to the buyer when they sell it, because they show the car’s service history. If a repair was a business expense, ask your tax preparer how long to keep the records. Mechanics usually keep a copy of each receipt with their business records.
Do auto repair shops keep records of services?
Many shops keep a service history under the customer’s name or the car’s VIN and can print it on request. Independent and mobile mechanics often don’t, which is why it pays to keep your own copy of every receipt.
Is an auto repair receipt the same as an invoice?
No. An invoice asks the customer to pay; a receipt confirms that payment was received. Registered repair shops that have to issue invoices with sales tax use shop or accounting software for that. This website only makes receipts.
How do I write a receipt for a car?
It depends on what the money was for. For repairs, use this page: the car, the parts, the labor and the total. If you sold a car privately, use the car sale receipt instead — it has fields for the year, make, model, VIN and mileage and prints the sold-as-is sentence.
