Nothing you type leaves this device.

Use it for: rent you have actually received, in full, for a house, an apartment or a room — paid in cash, by check, by money order or by transfer.

Not for: an invoice, a partial payment (switch the type to “Partial payment”) or money that was not actually paid — and never to mislead a landlord, a tenant, an agency or a tax office.

What to write on a rent receipt

There is no single official layout. In practice, landlords, tenants and the people who later ask to see a rent receipt look for the same few details. The form above asks for them in this order:

  • the landlord’s name, and the landlord’s address if you want it on the receipt;
  • the name of every tenant who pays, or of the person paying for them;
  • the address of the rental, including the unit or room number;
  • the period the rent covers, for example October 1–31, 2026;
  • the rent and, on a separate line, any utilities or other charges;
  • the date the money was received and how it was paid: cash, check, money order or transfer;
  • a signature line for the landlord, and one for the tenant if you both sign.

Rules differ from state to state and between Canadian provinces, so read this as common practice rather than legal advice. If a housing office or a new landlord asks for something specific, add it under More options → Notes.

How to fill out a rent receipt, step by step

Whether the landlord or the tenant fills it in, the steps are the same:

  1. Enter the landlord’s name as it appears on the lease. If a property manager collects the rent, use the manager’s or the company’s name.
  2. Enter the tenant’s name. Two people on the lease? Add a co-tenant so both names appear.
  3. Add the rental address and the period: the first and the last day the payment covers.
  4. Type the rent and the utilities separately — the total is added up for you.
  5. Pick the date the money was actually received and the payment method. For a check, you can add the check number under Notes.
  6. Download the PDF, print or send it, and sign it. Keep a copy: a receipt only helps if both of you can find it later.

Rent receipt template, rent receipt generator or a receipt book?

A rent receipt template is a blank form you download and fill in by hand or in a word processor. A rent receipt generator, like the form on this page, fills in the template for you, adds up the numbers and gives you a clean PDF. A paper receipt book works too, but carbon copies fade and books get lost.

Whichever you choose, the content matters more than the look: names, address, period, amount, date, payment method and a signature.

Printable rent receipt and rent receipt PDF

The PDF is made in your browser, on US Letter paper by default — switch to A4 above the download button. There is room for two signatures and a date next to each. Print it and sign by hand, or add signatures in your PDF app. Once this page has loaded it even works offline, and nothing you type is uploaded.

A rental receipt template for a house, apartment or room

The same rental receipt template works for a whole house, an apartment, a basement suite or a single room. Write the address the way mail reaches it, with the unit number, so nobody can mix up two units in the same building.

Room rent receipt for roommates and lodgers

Renting out a room in your home, or collecting a roommate’s share? A room rent receipt is the same document: name the room in the address, for example “Room 2, 25 Oak Street”, and write only the amount this person paid. If several roommates pay you separately, give each of them their own receipt.

Rent receipts for taxes (Canada)

In Canada, tenants are often asked for rent receipts at tax time — for example for Ontario’s Trillium benefit or a home office claim — and by social assistance offices. What each office asks for differs, and people report very different experiences with e-Transfer records, so check what your office wants before the deadline.

Many Canadian landlords give one receipt per year that lists every month; others give one per payment. Choose CAD as the currency. Rent receipts usually have no tax line, and the generator adds none. A receipt shows what was paid; whether it is enough for a claim is decided by the tax office, not by the receipt.

Cash rent: how to get a signed receipt

Cash leaves no bank record, so the receipt is your only proof of payment. Ask for it when you hand over the money, not next month.

If your landlord doesn’t write receipts, bring one: fill in this form, print two copies and ask the landlord to sign both — one for each of you. Tenants often do the same with a carbon receipt book. Paying by money order? Keep the stub as well; it shows that you bought the money order, and the signed receipt shows that the landlord received it.

Landlord receipt or receipt for rent: is there a difference?

No. “Landlord receipt”, “receipt for rent” and “rent receipt” all describe the note a landlord gives when rent is paid. What matters is who signs it: the person who received the money.

Do you need a special form for a rent receipt?

Usually not. A plain receipt with the details above is what most landlords and tenants use. Some states have their own forms for other purposes, such as the Certificate of Rent Paid that Minnesota landlords hand out for a renter’s refund; those come from the landlord or the state, not from a receipt maker.

I’m a tenant: how do I get a rent receipt?

Ask your landlord in writing — a text or an email is enough — and say which months you need. Many landlords simply never thought about it.

If the answer takes too long, prepare the receipt yourself with the right amounts and dates, and ask the landlord to check and sign it. Keep your bank statements, cancelled checks or money order stubs as well: together with a signed receipt they make a clear paper trail.

Never sign the landlord’s name yourself. A receipt is only worth something when the person who received the money signs it.

Questions people ask

Should a landlord give a receipt for rent every month?

It depends on where you live. Some US states and Canadian provinces expect a receipt for cash payments or whenever the tenant asks; elsewhere it is simply good practice. Many landlords write one for every cash payment and, on request, for other payments too. This describes common practice, not legal advice — check your local rules if it matters to you.

What information goes on a rent receipt?

Usually the date the rent was received, the amount, the month or period it covers, the rental address, the landlord’s name and signature, and the tenant’s name. Many landlords also note the payment method and list rent and utilities separately.

One receipt for the whole year, or one per month?

Both are common. Some landlords hand over a receipt with every payment; others, especially in Canada, give one receipt at the end of the year that lists each month. The app can put a whole year for one tenant on one page (Pro); on this website you make one receipt at a time.

Do I need rent receipts for my taxes?

Sometimes. In some places, Canada for example, tax or benefit claims can ask for proof of rent, and offices differ on what they accept. A receipt shows what was paid. Whether you can claim anything is up to the tax office — we can’t say that a receipt will be accepted.

Can the landlord sign a rent receipt electronically?

Many landlords send signed PDFs by text or email. Whether a particular office accepts an electronic signature is up to that office; adding the landlord’s phone number or email address makes the receipt easier to check.

Is a text saying “rent received” enough?

A text is better than nothing, but it rarely says how much, for which month or for which address. A proper receipt with the amount, the period and a signature is clearer for both sides, especially when the rent was paid in cash.
