Down payment receipt with the balance due (free PDF)
When someone pays part of a price now and the rest later, the receipt should show three numbers: the total, what has been paid so far and what is still owed. Enter them once — the balance is worked out for you — and download a PDF that both of you sign.

Use it for: a down payment, a deposit towards a price or one part of a larger amount that you have actually received — for goods, a car, a job or rent paid in parts.
Not for: a loan agreement or a payment plan contract, a payment that was not really made, or a balance nobody agreed to. The receipt records what was paid; it does not create a debt on its own.
What to write on a partial payment receipt
A partial payment receipt has one job: nobody should be able to misread how much is still owed. The form above asks for:
- who received the money and who paid it;
- what the payment is for — the item, the job or the rent period — specific enough that the total makes sense;
- the total price or amount due;
- everything paid before this payment (add up the earlier receipts);
- this payment, the date it was received and how it was paid;
- the balance still due, worked out for you;
- if you agreed on one, the date by which the balance is due (More options → Balance due by);
- a signature line for the person who received the money and one for the person who paid.
Keep every receipt. Together they tell the whole story — $600 down, then $700, then the last $500 — and each one shows the balance after that payment. If you agreed whether the down payment is refundable, write that under Notes so nobody has to rely on memory.

Down payment receipt: the first payment that secures the deal
A down payment is common whenever something is made, ordered or held for the buyer: custom furniture, a used car kept until pick-up, a kitchen job, a wedding cake, a booked photographer. The seller starts work or turns other buyers away, so both sides want the first payment on paper.
Write what the down payment is for as precisely as the deal itself: the item, the price, the delivery or pick-up date. When the rest is paid, write another receipt with the earlier payment under “Already paid before” — the balance drops to $0.00 and the receipt says so.
Partial rent payment: a receipt for what was actually paid
When a tenant pays only part of the month, many landlords give a receipt for the amount received that also shows the total rent and the balance still owed, instead of a rent receipt that makes the month look settled. Enter the month’s rent as the total, anything already paid for that month under “Already paid before”, and this payment as the amount.
Whether accepting part of the rent changes anything else between landlord and tenant is a question for your state’s rules or a local tenant or landlord association — the receipt only records the payment.
Installment receipt: one receipt per payment
Paying something off in installments — a car bought from a friend, a loan from family, a course paid monthly — works best with one receipt per payment. Each receipt shows the total, the sum of earlier payments and the balance after this one, so any receipt on its own tells you where things stand.
This website makes one receipt at a time. The app also has an installment type that prints “Payment 2 of 6” and the whole schedule on the receipt.
Paid with two money orders or two transfers?
You can write one receipt for the total received that day and list the money order numbers under Notes, or one receipt per money order. What matters is that the amounts add up and the balance is right. Keep the money order stubs as well: they show that you bought them, and the signed receipt shows that they were received.
The last payment: balance $0.00
When the final payment brings the balance to zero, the receipt shows “Balance due: $0.00”. If you prefer a plain receipt that simply says the full price was paid, switch to the Receipt type and write “paid in full” in the description.
More payments to come?
When the app is better
The next receipt starts from the balance
Create a follow-up receipt for the remaining balance that refers back to the first one, so the totals always match.
Payment plans, spelled out
The installment type prints “Payment 2 of 6” and the full schedule, so the buyer sees every date and amount.
Pay the rest with one tap
Add your PayPal or Venmo link to the receipt, so the balance is easy to pay when it is due.
The Android app is coming soon. You can create receipts on this website in the meantime.
Questions people ask
Do I give a receipt for the entire amount even though the tenant only paid part of the rent?
No. Write the amount you actually received. A partial payment receipt shows the full rent as the total, what has been paid and the balance still owed, so it never looks as if the month was paid in full.
Should I get two receipts, one for each money order?
Either works. Some landlords write one receipt for everything received that day and note both money order numbers; others write one per money order. Make sure the amounts add up to what you paid and that the balance is right, and keep the stubs.
What should a partial payment receipt show?
Usually the date the money was received, the amount, what it was for, the total due and the balance still owed — and, if you agreed on one, the date the rest is due. Landlords and small businesses mention the balance line most often: without it, a receipt for part of the money can be read as payment in full.
Is a down payment refundable?
That depends on what the two of you agreed, and sometimes on local rules — the receipt doesn’t decide it. Because it is a common source of arguments, write the agreement under Notes, for example “Refundable until the order is placed” or “Non-refundable once work starts”.
Should I wait until everything is paid before giving a receipt?
It is common practice to give a receipt for each payment as it comes in. Waiting until the end leaves the person who paid with nothing in writing for months, and small business owners say a real “partially paid” record is what prevents disputes.
